Presentation
Mailparser is a cloud based tool that automatically extracts data from your incoming emails and their attachments, turning messy, unstructured messages into clean, structured data. Instead of copying information by hand from order confirmations, leads, invoices or shipping notifications, you let Mailparser read each email and pull out exactly the fields you need. That data can then be sent to a spreadsheet, a database or any of the thousands of apps it connects with. For teams that receive the same type of email over and over, it removes a whole layer of manual data entry and reduces the errors that come with it.
How it works
The workflow is deliberately simple. You create a dedicated Mailparser inbox and forward, or automatically forward, your emails to it. You then define parsing rules that tell the tool where to find each piece of information: in the subject line, the body, the sender, or inside a CSV, XLS or PDF attachment. Once the rules are set, every new email that arrives is parsed in real time and the extracted values are dispatched wherever you want, exported as a spreadsheet, pushed to another web application through a webhook, or routed via an automation platform. Because it relies on repeatable rules, results stay consistent as long as the incoming emails keep a similar structure.
Features
- Data extraction from email bodies, subjects, senders and attachments.
- Custom parsing rules tailored to your specific fields and formats.
- Integrations with 5000+ apps through webhooks and automation platforms.
- Automated data and email cleanup to protect privacy and keep records tidy.
- Support for multiple file formats including CSV, XLS, XLSX and PDF.
- Real time dispatch to spreadsheets, databases or web apps.
Use cases
- Real estate: capturing lead and enquiry details from portal notifications.
- Logistics and delivery: organising shipment and tracking information.
- Lead capture: centralising leads that arrive by email or web form.
- E-commerce: processing order details and customer messages.
- Car dealerships: managing sales enquiries and service requests.
- Insurance: speeding up claims and policy handling.
Advantages
- Efficiency: removes repetitive manual data entry.
- Flexibility: custom rules adapt to almost any email layout.
- Scalability: handles growing email volume across many industries.
- Security: automatic cleanup helps protect sensitive data.
- Connectivity: fits neatly into an existing automation stack.
Drawbacks
- Initial setup: parsing rules and forwarding need to be configured before it pays off.
- Sensitive to format changes: if a sender changes the email layout, rules may need adjusting.
- Not a full workflow engine: for complex logic you will pair it with an automation platform like Make or Zapier.
At BeBranded, we often plug tools like Mailparser into no-code automation flows so that data captured from emails feeds a CRM, a Webflow site or an internal tool without any manual copy pasting.
